SMS Release Version 4.1 Build 283 – 27th August 2010

Release Note

1. On SMS Basic Module, we’d enhanced the features as following:-

a. Timetable Mgmt ~ > Staff Timetable Class Assignment, system have provide a new option to simply the Class –Subject –Teacher Assignment to supersede existing staff timetable slot option which was designed for International School usage.

b. ID Card ~ > Student ID Card, new template for printing with Plain colour scheme and additional plain background for each colour template.

c. Enquiry ~ > Without Info Alert ~ > Student/Staff Profile, to add in a new enquiry option “Without Info Alert” – for school user to monitor the incomplete information input on the student and staff profile.

d. Student Mgmt ~ > Student leaving/Transfer – create/Verify, to display alert on screen for outstanding library books, access cards and user account on creation screen and also display verify process when there is outstanding from Library and allow user to check on checked box for system to auto inactivate the student’s access card and user’s account.

e. Student Mgmt ~ > Alumni Profile ~ > Create, new option release for Alumni Enquiry & export, during student rollover & class streaming process, system enable user to create alumni profile on graduating class and leaving/transfer student.

2. E-Report Card ~ > Exam Mgmt ~ > Print ~ > Report Card Cover, to enable print of class history on the Report card cover printing  format 2.

    SMS Release Version 4.1 Build 273 – 26th August 2009

    Release Note

    1. On E- Report Card Module, We’d enhance the features as following:-

    a. Exam Mgmt Module ~ > Mark Input ~ > By Subject & Class, The is allowed the users to update exam result with ‘0’ mark input for subject with paper setup. Recently only ‘0.00’ mark is accepted for the input.

    b. Exam Mgmt ~ > Print ~> Report Card & Result Slips, the system is rectified to printed SGP on report card to followed decimal precision setup.  SGP (Subject Grade Point) shall always printed in 2 decimal points.

    2. On Co cu Assessment Module, We’d enhance the features as following:-

    a. Activity Record ~ > Staff ~ > Create, System is enhanced to allow for activity teacher to perform the following base on assigned start and end date:

    • Activity Attendance allow for back dated attendance taking with attendance date within the activity teacher start and end date
    • Regular Sub-Activity -> Create /Edit
    • Activity Record – By Student -> Create/Edit
    • Activity Record – By Class -> Create

    3. Library Mgmt ~ > Bibliographic ~> Detail Export, the system is enhanced to allowed bibliography Details Export option with filtering criteria by different Material Type.

    4. SMM Web ~ > Student Mgmt ~ > Personal Records ~ > Create, System is enhanced to display blank religion description on Student Profile deletion page instead of [Bukan Islam] if religion code is not maintained for the student.

    How do I setup exam parameter before start using E- Report card Module?

    Exam parameters are required to set up by academic year. Before setting up the exam parameters that suit your school’s requirement, user must ensure that the followings parameters (under SMS Basic) are ready for the selected academic year:

    1. Level, Classes and Subject Offer
    2. Class Timetable
    3. Subject Enrolment

    Followings are the illustrated steps on how to setup exam parameter in order to start using E – Report Card Module

    Step 1: General Setting
    To do it, please click on link Paramter Setup ~ > General Setting, This E-Report Card Setting is used to indicate what and how the details/descriptions in the report card is to be displayed/printed. User is required to setup the general setting for the exam module as this is the part where user can define the document header and details to be printed on the report card header, result slip and transcript.

    Step 2: Exam Code & Descriptions
    To do it, please click on link Parameter Setup ~ > Exam Code & Description, This is used to define the exam code and description. No change from previous setup, except user may define the exam description in multi-language. Indicate accordingly whether the exam is a school exam or public exam. In this manner, only those exams that are defined as public exam shall be listed in public exam result input and enquiries.

    Step 3: Exam Schedule & Result Display Setting
    The exam schedule for each level shall be setup. The report card printing orientation and details that are to be displayed/printed shall also be set here. To do it, please click on link Parameter Setup ~ > Exam Schedule & Result Display Setting ~ > School Exam/Public Exam ~ > Create, User needs to set the date for each examination for each level. This setup shall enable the system to list the exams taken by each student in date order.

    Step 4: Subject Exam Setting
    Subject exam setup needs to be done for each subject in each exam. The system allows subject exam setting to be done for both normal and final exam. To do it, please click on link on parameter setup ~ > Subject Exam Setting ~ > Normal/Final Exam. For the subject final exam, all setting are similar to “Subject Exam Setting – Normal Exam”, except that these setting are to be used specifically for the “Final Exam”.

    Step 5: Paper Exam Setting
    This is applicable for any subject where the marks are to be input by paper. To do it, please click on link parameter setup ~ > Paper Exam Setting ~ > Normal/Final Exam. For the paper final exam, all setting are similar to “Paper Exam Setting – Normal Exam”, except that these setting are to be used specifically for the “Final Exam”.

    Step 6: Exam Subject Group
    This is used to group subjects that determine the overall student pass or fail status. For example, a student must pass either History OR Geography in order to pass. So Geography and History is a “Subject Group”. To do it, please click on the link parameter setup ~ > Exam Subject Group ~ > Create.

    Step 7: Main Subject Teacher Setup
    System allows user to assign & authorized particular teacher to enter exam subject marks for each student. To do it, please go to go to Parameter Setup ~> Main Subject Teacher Setup.

    Step 8: Student Exam Subject Marks Distribution
    System allows user to define the value of marks to be distributed to each exam for each student. With this function, if a student is absent in one of the exams, the marks can be distributed to any exam he or she had attends. To do it, please click on link Parameter Setup ~ > Mark Distribution Setup ~ > Subject/Student

    Step 9: Performance Remark
    User needs to create the standard description for the performance remark for different group of users. This is to provide an easy way for teachers to select the relevant remark for their students based on their academic performance. To do it, please click on link Parameter Setup ~ > Performance Remark.

    SMS Release Version 4.1 Build 267 – 09th December 2008

    Release Note

    1. On Basic Module, we’ve enhanced the features as following:-

    (a)  Enquiry ~ > Attendance Enquiry ~ > Class Attendance Detail Listing, this enquiry shows report on student in a class with attendance Detail Listing.
    (b)  Student Mgmt ~ > Testimonial/Leaving Cert ~ > Preview Template & Printing, the system is enhanced to extend principal name print area for student testimonial format 6 so that principal name will not wrap to second lines.

    2. On Co – curriculum assessment module, we’ve enhanced the features as following:-

    (a)  Enquiry ~ > Student Grade Analysis, this option is to provide a screen display student assessment grade analysis. The statistic count analysis by assessment grading table for academic level, co-curriculum activity and co-curriculum group.
    (b)  Activity Record ~ > Activity Attendance, the system is enhanced to allow back-dated activity attendance marking for leaving student on activities held prior to student leaving date.
    (c)  Activity Record ~ > Activity Attendance, this is to add new record filtering criteria of [Level] and [Class] on Student Activity Attendance Posting Screen.
    (d)  Enquiry ~ > Student Activity Attendance ~ > Attendance History, this is to add new enquiry filtering criteria of [Class] and [Co-Curriculum Activity] on Student Attendance History Enquiry.
    (e)  Activity Record ~> Activity Attendance, the system is enhanced to add student leaving school indicator icon on activity attendance input page (If the student has left school).
    (f)  Activity Record ~ > Staff/Student ~ > Create, this is to group the co-curriculum drop down option list by student co-curriculum group on Staff / Student activity record creation page.
    (g)  Assessment ~ > Co-Curriculum Marks Update, this is a new process to integrate with E-Report Card Module for student co-curriculum assessment GPA to be appeared in student’s report card as part of the fulfilment of student academic performance.
    (h)  General Parameter -> General Setting, we’d provided a new setup option for school user to determine the maximum student bonus mark to be awarded during assessment grading.  School can choose to award only the bonus item with highest marks OR total marks from inputted bonus items OR a pre-set maximum mark from inputted bonus items.

    3. On e – Report card module, we’ve enhanced the features as following:-

    (a)  Enquiry ~ > Student Rank By Level, system is enhanced by not taking account for simulated generic average computation on student rank by level enquiry for student with AB (Absent) result status and setup [Input AB as mark, No average mark and rank for affected student].
    (b)  Enquiry ~> Top Student Enquiry (Normal Exam), the system is enhanced to remove fail status control checking on Top Student and Subject Winner Award Listing Enquiry so that student with fail status can also be listed on best student award list.

    4. On Student e – Attendance module, we’ve enhanced the features as following:-

    (a)  Attendance Processing -> Process Later Comer -> Student, we’d incorporate student late comer processing on class replacement day.
    (b)  Enquiry -> Student Attendance ~ > Student Late/Absent/Attendance Detail Listing, the system is enhanced to incorporate student late/absent enquiry on class replacement day.

    5.  Library Mgmt ~ > General Setting, the system is enhance the auto call no convention rule with additional combination by Location or MARC21 input field.

    SMS Release Version 4.1 Build 265 – 20th October 2008

    Release Note:

    1. On Basic Module, we’ve enhanced features as following:-

    (a) Teaching Record Book, Teaching Record Book is an added new function for managing Teaching Plan by subject teacher for an academic year.  School Admin is responsible to create/manage curriculum framework as defined in “Huraian Sukatan Mata Pelajaran” by MOE. Subject teacher will then create the teaching plans based on pre-created Curriculum Framework and submit to School Principal for approval, either by individual teaching plan or by batch.

    (b) Enquiry ~ > Staff Workload Report, Once user is completely setup staff subject taught in school, staff additional duty records, training and official duty and roles that to be assigned on Student Discipline.

    (c) Staff Mgmt ~ > Verify, This is an new option for data verification by admin on staff profile maintenance. Feature to be enabled at general setting.

    (d) ID Card ~ > Staff ID, we ‘d add additional print info on staff ID card – Landscape Format. User may choose to print the following info on staff ID card, Other Name (School), Staff Other Name, Staff Address, Home Telephone No.

    (e) Curriculum Mgmt Module ~ > School Calender, This is an new feature for replacement class assignment. School admin will able to create a replacement class with specified timetable cycle day to be used for the replacement class and it was installed automated school days computation from real school calendar. School is required to enable option under general setting for auto schooling day computation.

    2. On Co – Curriculum Assessment Module, we’ve enhanced features as following:-

    (a) Enquiry ~ > Student Grade Analysis ~ > Top Student by Category/Activity, system is enhanced to extend maximum top student count from 99 to 999 on top student enquiry page.

    (b) General Parameter ~ > Activity Description ~ > Create/Maint, this is new option to create co-curriculum activity profile, such as motto, aims, external coach name etc.

    (c) General Parameter ~ > General Setting, this New formula to populate student activity attendance mark (with setup option enable – Compulsory minimum activity attendance): (P + L) / (Minimum activities requirement count) X 50 marks and ncorporate assessment grading precision round setup (By Generic Round, Round Up or Round Down) while populating student assessment grade.

    (d) Form & Report ~ > Assessment Summary Report, the reports is enhanced to print level group description on Assessment Summary Report – Format 2, e.g. T1, 2, 3 print as [Menengah Bawah] while T4, 5, 6 [Menengah Atas].

    3. On SMM Web Module ~ > School Mgmt ~> Student Parameter ~> Scholarship Type -> Create , this is to allow school administrator to setup student scholarship parameter.

    4. E-Report Card Module ~ > Exam Mgmt ~ > Additional Features ~ > Performance Remarks Report, a newly developed report, Student Performance Remark Sheet to combine printing of Class Teacher and Principal comments in one paper sheet for a single exam.

    SMS Release Version 4.1 Build 263 – 28th September 2008

    Release Note:

    1.  On Basic Module, we’ve enhanced features as following:-
    (a)  Student Mgmt Module ~ > Checklist By Student, The system is incorporate student payment record printing.  Payment item to be definable by school user.

    (b)  Student Mgmt Module ~ > Student Medical Record, We’d provided new option to enter student general health and immunization record.  The entered information can be viewable under student personal record enquiry page. This function allows user to record student health history  including allergy and immunizations information.

    (c)  Enquiry Module ~ > Attendance Enquiry -> Summary – Daily By Class, The system is enhanced to provide an option to print letter for student absent parent notification.

    (d)  School Mgmt ~ > Facilities Mgmt, This is new feature on facilities booking and approval. Teachers are allowed to perform room booking online that will maximize the usage of available resources within the school by increasing efficiency while eliminating double bookings. All room bookings shall be submitted for approval by School Administrator and an approved booking is no longer allowed to be re-scheduled.

    (e)  Timetable Mgmt ~ > Staff Substitution  ~ > Class Substitution, To ensure only teacher in the school at the time of class substitution listed on substitution teacher option. This amended feature is only applied to school with e-attendance module activated.

    2. On E – Report Card Module, We’ve enhanced features as following:-
    (a)  Exam Mgmt ~> Produce Class/Level Ranking, we’d resolved the incorrect class ranking for classes with ranking method by Subject Grade, i.e. student scores more A will be ranked first.

    (b)  Head Count & Post Mortem Module, This is a new module release on Take-Off-Value (TOV), Expected-Target-Result (ETR), Operational-Target-Increment (OTI) processing. Headcount is prepared to set target for students individually as well as a group in a class and form/level to achieve in academic performance.

    3. On Co cu Assessment Module, We’ve enhanced features as following:-
    (a)  Forms & Report ~ > Activity Involvement Summary Report, we’d provided a new reporting option – Activity Involvement Summary Report: Listing of co-curriculum activity by member count and total involvement statistic count.

    (b)  Student Position ~ > By Activity~ > Create, the system is enhanced toeExtend co-curriculum activity position count from maximum of 999 to 9999 students.

    (c)  Enquiry ~ > Student Activity ~ > By Activity, provide display student leaving icon on student activity enquiry listing page.

    (d) General Parameter ~ > General Setting, the system is enhanced to add option at general setting and enhance assessment grading process according to the setup.  Note that default rounding option = round down, therefore it’ll not affect existing school’s operation.Assessment Element Rounding Option:Generic Round / Round Up / Round Down. The default rounding option = Round down and the setting only apply to 4 weighted elements, namely, Attendance, position held, involvement & achievement.

    (e) Enquiry ~ > Student Attendance Analysis ~ > Attendance Analysis, Provide a activity attendance analysis table and chart, allowed to print report of each category.

    4. On E – Attendance Module, We’ve enhanced features as following:-
    (a). Attendance Processing ~ > Latecomer Processing for staff, The system would enhanced the option to Do not show academic staff as “absent” status during school holiday period as defined in school calendar. The Academic staff will not be marked as “Absent” Status if the processing date falls outside the schooling periods as defined in each semester / school term under Basic ~ > Curriculum Management ~ > Academic Year option.
    (b). Personal Administration ~ > Submit Leave Application, Staff leave management has been incorporated into e-Attendance Module as a newly enhanced feature. This feature enables various types of leaves such as Annual Leave, Maternity Leave, Compassionate Leave, Sick Leave-Government, Sick Leave-Private, Unpaid Leave and Unrecorded Leave to be easily managed by capturing staffs’ leave entitlements, requests, approval and balances.

    (c). Parameter ~ > Leave Entitlement, Staffs’ leave entitlement records must be created first before the staff is eligible to apply leave. School Admin is required to record the staff leave entitlement for the following leave types:- 1. Annual Leave- 2. Sick Leave – Government- 3. Sick Leave – Private

    (d). Personal Administration ~ > Submit Training Report, Staff training management has been incorporated into e-Attendance Module as a newly enhanced feature. Information on staff training, which includes staff’s submission of request, approval and training details such as organizer, location, duration and costs shall be under a workflow system with all the related data captured in the system.

    (e). Enquiry ~>Staff Attendance ~> Staff Daily Transaction, incorporate print option on Staff Daily Transaction enquiry.

    (f). Personal Administration ~ > Submit Official Duty Application, Staff on official duty has been incorporated into e-Attendance Module as a newly enhanced feature. Information on staff on official duty, which includes staff’s submission of request, approval and assigned duty details such as destination, start and end date, duration, purpose and costs shall be under a workflow system with all the related data captured in the system.

    (g). Enquiry ~> Staff Attendance ~ > Attendance Analysis ~ > Staff Yearly Attendance Analysis/Staff Yearly Absent Analysis, User is able to inquire the percentage of staff present/absent, breakdown by month.

    5. On Library Mgmt Module, We’ve enhanced features as following:-
    (a). Bibliographic ~ > Creation – Beam Me Web Service, To improve the overall service, usability and reduce repetitive data entry in school, we have incorporated iSchool Beam-me Web services for library bibliographic record creation function.

    (b). Circulation ~> Circulation, The Circulation function is enhanced to facilitate easier flow of borrowing / returning especially for those members who have not bring along library cards can still proceed with book borrowing or return via Advanced Search feature.

    6. System Administration Module ~ > System Tools ~ > Module Transaction Statistic, Module transaction statistic monitoring option is used to analyze the module transaction statistic count by date. Any transaction conducted by the module using by school will increase the value to 1.
